Introduction

The Notifications app allows you to create and send event-specific, dynamic-content notifications to targeted user audiences through email, the Notifications area in the platform, or via Docebo's integration with Slack.

Notifications are automatically sent based on an event taking place in the platform and the event's associated conditions. Each notification is tied to an event, and each event is tied to a schedule, an audience, and a recipient type.

This article presents the list of events and conditions that can be used to trigger a notification. Please see Managing and Sending Notifications for more information on how to configure notifications.

Notification priorities

All notifications have an assigned priority that can be either normal priority or high priority. Normal priority notifications should be sent within sixty minutes of the event being triggered while high-priority notifications are supposed to be sent within ten minutes of the triggering event.

A notification is considered sent once it has been dispatched from the Docebo SMTP server, actual delivery times may vary depending on external network traffic, the receiving SMTP server, and the correct configuration of the recipient’s MX, SPF, and DKIM records in DNS. These systems are outside of Docebo’s control and may delay or hinder the correct delivery of the notifications.

All notifications listed in the Notification Events and Conditions section show the priority they have been assigned.

Course notifications

Assignment Has Been Evaluated

This notification is sent when an assignment has been evaluated by an instructor, a Power User, or a Superadmin.

Catchup Course Available

This notification is sent when a catchup course is added to a learning plan AFTER a user has been enrolled. In the case of users, they are only notified if they are enrolled in that learning plan.

Triggers when a user is enrolled in one or more courses. One notification is sent out for each user, listing all the courses in which that user has been enrolled.

Each user receives a single digest email, listing the courses in which they are enrolled. The other recipient roles receive a separate digest email for each user.

When using shortcodes related to the elements belonging to the list of items reported in this notification, enclose them between [items] and [/items]. Other shortcodes can be left outside those tags.

When enrolling users into courses, this type of notification can be selected in the Notifications step: 

  • The selected notification will be sent immediately upon completion of the enrollment, irrespective of its scheduling (Manually or Every). 
  • The original scheduling of the notification will also continue to apply. So in case of Every, the selected notification will be sent immediately upon the enrollment, and then also continue to be sent at the scheduled intervals. 
  • The Notifications step appears only if in Advanced settings > Advanced options the option Send immediate notification digest on massive enrollment action is flagged.  

When configuring enrollment rules, this type of notification can be selected as an Assigned resource, to be sent to users upon enrollment.

ILT Event Starting

Triggers for every event of ILT sessions. Informs parties of when their ILT event is about to start or has already begun.

ILT Session Changed

Triggers when any change is made to an ILT session. Depending on the selected target, it notifies the users enrolled in the session (with enrolled, in progress, and completed status), the instructors enrolled in the course session/events, the Power Users who have visibility over the course (irrespective of whether they have visibility over users enrolled in the session or not), or all Superadmins.

Additional Notes If you set this notification to be sent x days or weeks after the event (enrollment), the logic followed is different from that for other notifications:
- The time of day of the triggering event is ignored.
- On xth day after the event, the notification is sent at the time specified.
For example, if the enrollment happened on 12 February at 4pm, and the notification is set for 10 days after the event at 8am, it will be sent on 22 February (10 days after the event) at 8am.

Learner Submitted A Test And Evaluation Is Needed

Triggers when a user submits a test training material in a course of any type and the test needs an evaluation from an instructor. This means that the test contains question types (extended text or upload file) that require instructor evaluation.

When selecting Users as recipients of this notification, use the Custom Selection option to filter the recipients by selecting only the users still not enrolled in any session of the course (only enrolled in the course) and/or the users on the waiting list of at least one session of the same course. This selection prevents the sending of unnecessary notifications to the users already enrolled in a session of the same course.

This notification formerly included the [session_dates] shortcode, but it has now been removed because the session dates cannot be populated at the time of session creation
