Introduction
In the world of sports, when a person or team wins a tournament or championship, they are given some sort of reward for their hard work. Wimbledon winners receive nearly 2 million British pounds, and Major League Baseball players get a hefty ring to show off after winning the World Series.
Keeping in mind that people are often more willing to participate and compete if there are great rewards for doing so, the Docebo Gamification App features the Rewards Marketplace. If you haven’t activated the Gamification app on your platform, you can read more about getting started. Let’s begin with a general overview of the Rewards Marketplace.
Your settings in the Gamification app won’t change with this addition. Your competitions, leaderboards, contests, badges, and points for all users remain the same. By default, the Rewards Marketplace is disabled. You will have to flag the option to activate it.
Once the Rewards Marketplace is activated, every user’s points will also now be used as currency, called coins. As you can guess, users will then exchange their coins for a bid on one of the rewards in the marketplace. Rewards are rather abstract. Your platform serves as the catalog to display, manage, and allocate your physical or virtual rewards, but you as the Superadmin will be in charge of distributing the rewards outside of the platform.
One point equals one coin. When a user spends his or her coins on rewards, the number of coins will then decrease. However, the number of points for a user never decreases since they are an accumulation of the entire gamification earnings. Therefore, when a user spends his or her coins in the Rewards Marketplace, they will see different numbers for points and coins. When a user earns more points or badges, he or she will see the number of both points and coins increase.
Users can view their badges, points, and coins by pressing the trophy icon in the top bar on the platform. A menu will appear below, showing all of this information.
Activating the Rewards Marketplace
From the Admin Menu (the gear icon in the top right corner of the platform), find the Gamification section, then press the Settings subitem. On the Settings page, flag the option to Enable reward shop and allow users to use points to get reward prizes. Press Save Changes when finished.
Adding Rewards to the Marketplace
To add a reward to the Rewards Marketplace, access the Admin Menu. In the Gamification section, press the Rewards item. At the top of the Rewards page, you will see the New Reward button in the Rewards action bar. Press this button to add your reward.
On the New Reward page, give your reward a title, description, and reward code. Please remember to add a translation for every language that your learners are using in the platform. Reward codes can be alphanumerical (ABC123). Next, use the Coins text box to delegate how many coins a user must spend in order to redeem this reward. Then, in the Availability text box, type the quantity of this reward. For example, you would type 3 in the box if you were offering 3 weekend trips to Las Vegas.
Please Note: The number of available pieces for your users is based on the number of requests. It is like a booking system. If there are 3 weekend trips to Las Vegas available, and 3 people submit requests for this reward, then other users will see that this reward is no longer available, despite whether you have accepted the request yet or not. If you deny the request for this reward, the availability will go back to 1, 2, or 3, depending on how many requests you deny.
You’ll then want to add a Reward Picture (the suggested size for the reward picture is 163x208px). This is useful, as it is the picture that appears in the Reward Shop for users. Finally, flag whether this reward is associated with all sets, a specific set, or no set. If it’s associated with a specific reward set, type the set into the text box that will appear when you flag this option, then press enter after you’ve completely typed the set. There is not a maximum number of sets with which a reward can be associated.
When you’re finished, press Save Changes. Your reward will now appear in the Rewards list on the main Rewards page. You can edit any information about this reward, or delete the reward, using the corresponding buttons in the reward’s row in the Rewards List.
Adding Reward Sets to Organize Rewards
To better organize your rewards, you can create sets (or categories). On the main Rewards page, press the Rewards Set button from the action bar at the top. Here, you will see the option to add a new set and a set list. To add a new set, press the New Set button. Start by adding a name and a description for the set (Apple Gifts, Vacations, Small Prizes). When you’re finished, press Confirm. The set will then appear in the set list.
To filter which branches in your platform can see this rewards set, find the set in the set list, and click on the item in the Filter column of that set’s row. Keep in mind that by default, all sets are viewable by all branches and groups until you configure the visibility. When you press the filter item in the set’s row, a pop-up box will appear to edit the reward set visibility. You can flag the option for the set to be visible to all branches and groups, or select branches and groups. Select which groups and/or branches can view this rewards set, then press Confirm.
Please Note: Reward visibility is based on only the reward set, not on individual rewards.
To assign rewards to this set, find the set’s row in the Reward Sets list, then find the Assigned Rewards column. Press the number or list icon in this column of the set’s row to assign or edit the rewards in this set. On the Assign reward to set page, press the Assign Rewards item at the top of the page. Select which rewards you want to assign to this set using the list, then press Confirm to complete the action.
All rewards assigned to this set will appear in the bottom part of the Assign Reward to Set page. To unassign a reward to a set, flag the reward(s). Then, from the dropdown action menu, select Unassign. A pop-up warning will appear asking you to confirm the deletion of the reward from the set.
Flag the option to proceed, then press Confirm. Finally, you can edit the information of a set or delete a set by using the corresponding icons in the set’s row in the Reward Sets list.
Managing Rewards Requests
To manage rewards requests from users, select the Manage Rewards Requests item in the action bar at the top of the main Rewards page. You’ll be redirected to the main management page for rewards requests, where there will be a list of all requests.
Each request row will have a request ID number, name of the user, picture and code of the reward (if applicable), reward name, number of coins exchanged for the reward, date of request, and status of the request. A request can be approved, rejected, pending, or canceled.
To approve a pending request, click on the checkmark button in the request’s row. Likewise, click on the X button in the request’s row to reject the request. Please note that you cannot reset or undo a rejected request. A user must resend a request for the same reward if you accidentally reject the request. However, you can reset an accepted request by pressing the circling arrow icon.
If the user no longer has enough points for a certain reward, this reset icon will be greyed out. You can also email a user using the email icon in the request’s row to notify the user regarding information about their request or reward.
Finally, you can filter the visibility of the Requests List by flagging the options at the top to view only approved, pending, rejected, or canceled requests. Additionally, you can search for a specific request using the search bar.
If the notifications app is active in your platform, you can configure the User asked to redeem reward notification in order to be notified as soon as a request is made.
The Rewards Marketplace for Learners
After setting up the Rewards Marketplace, learners can access it from the trophy icon in the top bar of their platforms. In addition, if the notifications app is active in your platform, learners can be notified a Superadmin accepts or rejects their reward request. Use the Superadmin approved reward request and the Superadmin rejected reward request notifications for this purpose.
