Introduction
Managers are key stakeholders of the evaluation process. Involving them can provide valuable insights and help you understand to what extent the knowledge gained during training was used in the learner’s everyday job.
Moreover, involving managers in the evaluation process can actually improve the impact of training. Managers feel a higher sense of accountability and support learners in using the knowledge and skills they have gained during training.
To get the manager’s feedback, you need to enable the Manager follow-up questionnaire while customizing the evaluation process.
The Manager follow-up questionnaire is only available for Instructor-Led Training (ILT) courses.
Using the Manager follow-up questionnaire
To customize an evaluation process and enable the Manager follow-up questionnaire, click on the gear icon in the top right corner of the platform. In the Apps & Features section, look for Learning evaluation and click on the Evaluation designer sub-menu. Then, access the ILT evaluation process.
The available questionnaires will be displayed on the left side of the Timeline tab. Except for the Learner initial questionnaire that cannot be disabled, the questionnaires can be enabled or disabled according to your needs.
To enable the Manager follow-up questionnaire, switch the toggle next to the questionnaire title. Once the questionnaire is enabled, you can edit, preview and schedule the questionnaire by selecting one of these options from the ellipsis menu in the corresponding area.
The Manager evaluation questionnaire can also be enabled from the Manage sub-menu, Courses tab. Learn more about enabling learning evaluation for courses.
If a manager has four team members in an evaluation, the manager’s answers will be weighted as four but if the manager has one team member in the evaluation, their answers will be weighted as one.
This only applies to linear scale questions. More information on question types.
Edit questionnaire
Selecting the Edit questionnaire option will take you to the questionnaire builder page. You can then completely customize the questionnaire according to your needs by adding or removing parts or questions. Learn more on the creation and customization of questionnaires.
Preview questionnaire
This will show you the manager's view of the questionnaire.
Schedule questionnaire
In the pop-up box that opens, choose the delay between the end of the course and the time the Manager follow-up questionnaire is sent. You can set a delay between 15 and 180 days.
Please note! The delay set here will apply to the first email sent to the manager (called Invitation email). Other reminder emails can be sent in case the first email is not answered. You cannot choose the number or schedule of the reminder emails. This will be set by Docebo according to your needs during your onboarding phase.
Best practices
Involving managers in each and every evaluation process is not recommended. Sometimes, managers will not have any additional insights to provide. Moreover, if managers receive too many questionnaires, they could grow tired of them and your response rates will plummet.
We suggest involving managers in the following cases:
- Strategic training programs
- Courses involving upskilling or reskilling
We suggest you avoid involving the managers if they are not in a position to provide insightful feedback (for example if they are not in close contact with their team members).
