Introduction
Once your new Shape has been created, before publishing it you can edit it to shape hyper-personalized content that best fits your needs.
Thanks to a great number of customization options, you can manage and personalize each scene composing your video content, but also change the theme, choose the soundtrack you prefer, translate your Shape into languages other than English and add voice-overs for the available translations.
This article is a guide on how to manage and edit the Shapes you created using the platform’s built-in editor. Once you have customized your Shape according to your needs and you are ready to publish and share it, refer to the article Publishing and Sharing your Shapes.
Editing Your Shape
If you have just created the Shape, you can open it directly from the notification informing you that your content is ready. Click on the Edit Shape button in the preview window to access the built-in editor.
You can always find your Shape in the homepage. From there, click on its card to access the editor. In the next chapters, we will go through all of the customization options, one by one.
Managing Scenes
Once you are on your Shape’s editor page, you will find a great number of options to fully personalize the scenes composing your video content.
First of all, you can edit the title of your Shape by typing it in the text box in the top left corner of the page.
In the sidebar on the left of the page, all of the scenes are displayed and ordered vertically. From the sidebar, you can perform the following actions:
-
Add a new scene. Click on the plus button between two scenes. You can create different types of scenes:
- Classic scene: it is a scene with text in the foreground or on one side and a media asset (image or video) in the background. Once you have added a new scene, you can edit the text and change the scene’s duration, background and layout (refer to the options in the Editing Scenes section for more details).
- Quiz scene: it is a scene with one question and some answer options. You can choose among different types of quiz scene: Multiple Choice, Multiple Response, Fill in the Blank, and AI-Generated Fill in the Blank (beta). See the following chapter to learn more on creating and managing quiz scenes.
- Long text scene: choose this scene type when you have a lot of text to insert in one scene (up to 2500 characters). While playing, your Shape will stop on the long text scene to let learners read the text and scroll it, if necessary. When they are done reading, learners can then press the Next button to go on with the Shape. The long text scene has more text formatting options than the other scene types (see following section for more details).
- Video scene: you can create a scene consisting of a video, which you can upload or select from the Media Library. The video will keep its duration, but we recommend not creating video scenes longer than 2 minutes to make your Shape more usable. See the list of supported formats for videos. Note that you cannot add or translate subtitles for videos.
- Delete a scene. Click on the trash can icon on the left corner of the scene that you want to delete, then confirm your action with the Delete button.
Video scenes may take a few minutes to be processed. If you publish your Shape before a scene has been processed, it will not be included in the published Shape. You can only upload one version of your video, so if you translate your Shape, all translations will keep the original version of the video.
Editing Scenes
Select a scene to preview it in the middle of the page, where you will find a number of customization options, according to the scene type. For classic scenes, you will see the following options:
- Choose the scene’s layout. Use the Layout dropdown in the top left corner of the page and choose the layout that you prefer: text on the left or on the right of the scene, or over the background. Remember that you cannot change the layout of the first scene, the cover.
- Add voice-over. Click on Add Voice-Over in the top left corner of the page. A slide-out panel will open where you can edit the voice-over text, choose among existing voice-overs, apply them to the single scene or to all scenes, or record your own voice. Learn more on managing the voice-over for your Shapes.
- Adjust the scene’s background image. Use the dropdown menu in the top left corner selecting Fit Media or Crop Media to adjust the background image as you need.
- Change the scene’s position. Use the dropdown above the top left corner of the scene to change its position in the Shape. Remember that you cannot change the position of the first scene, the cover.
- Change the scene’s duration. Edit the number of seconds for which the scene will be displayed in the dropdown above the top left corner of the scene. By default, classic scenes can last up to 60 seconds, except for those with voice-overs, whose duration will be adjusted to the duration of the voice-over.
- Delete the scene. Click on the trash can icon above the right corner of the scene that you want to delete, then confirm your action with the Delete button
- Change the scene’s background. Click on the pen icon on the right corner of the background image. In the dropdown menu, choose if you want to upload a file from your device, or select one from the Media Library or from the Stock Library. You can also drag and drop your file directly on the scene to upload it. Learn more about Media Library and Stock Library.
- Edit text. Select the text on the scene to open the text editor. You can type new text, change the existing one, apply paragraph styles, apply bold, italic, or underlined formatting, add links, and change the text and the background color. Moreover, you can choose the position of the text on the slide among nine different positions.
You can customize long text scenes only by editing and formatting the text: you can type new text, change the existing one, apply bold, italic or underlined formatting, add links, change the text color, highlight text, change alignment, and insert bulleted or numbered lists. When using bulleted lists, you can press the Tab key on your keyboard to create sub-bullets.
Please note that the embedded text editor is Froala, refer to the Froala Knowledge Base (opens in a new tab) for further information on its usage. Also remember that the rendering of the output of WYSIWYG editors may be slightly different from the input, depending on the CSS rules applied.
Quiz and video scenes' layout cannot be customized.
Creating and Managing Quiz Scenes
You can create different types of quiz scenes:
- Multiple Choice: learners will have to select only one correct option among the ones proposed
- Multiple Response: learners will have to select all the correct options among the ones proposed
- Fill in the Blank: learners will have to complete sentences by typing in the correct words.
- AI-Generated Fill in the Blank Final Scenes (beta version): these fill-in-the-blank scenes will be generated by Shape’s AI and placed at the end of your Shape.
Select the desired type of quiz scene from the dropdown menu and type the question title.
For multiple choice and multiple response scenes, you will have to type the text for each option. To add more options, click on Add option. You can drag and drop the options to sort them as desired, and delete options using the x icon at the right end of the option’s row. Select the answer (or answers for the multiple response type) to mark it as the correct one.
For fill-in-the-blank scenes, type your text in the text box, add blanks where needed and write one or more options that learners will use to complete the sentences. Please note that you can add a maximum of 10 options for each blank, and that the answers that your learners will give are not case-sensitive, so upper-case and lower-case letters won’t make any difference.
For AI-generated fill-in-the-blank quizzes, Shape’s AI will automatically create from 1 to 5 fill-in-the-blank quiz scenes and place them at the end of your Shape. The number of generated quizzes will depend on your Shape’s length. Once the creation has finished, you can add a title for the corresponding scenes and optionally edit the quizzes.
Please note! This feature is currently available in beta version, thus it will be improved based on customer feedback. It may take up to 10 minutes for the quiz scenes to be created. The feature only works with English content, so if you need to apply it to Shapes in different languages, first create your Shape in English, then add the AI-generated quizzes, and finally translate your Shape as described in the Managing Translations chapter of this article.
Click on Quiz Settings in the top left corner of the page to customize your quiz scene: in the right panel that will open, you can change the quiz type, select the number of available attempts, and assign a score to the scene.
The default number of attempts is one, but you can increase it up to five or to unlimited attempts, meaning that learners will have to try again until they get the correct answer, before they can go on with their Shape.
You can assign the scene a score from 0 to 100, including decimal numbers. You can check your learners’ scores from your Docebo Learn platform by accessing the course report, whereas your learners will see them in their My Activities page.
Final scores will be calculated in percentage according to the score assigned to each scene. For example, if you assign a score of 10 to a quiz scene and 15 to another, and the learner only passes the 15-score scene, they will be assigned a final score of 60 (60% of the total 25 scores available).
You will see the assigned amount of attempts and score in the top of the page, next to the Quiz Settings button. Learners will see the number of attempts left in the top right corner of the quiz scene.
Creating and Using Themes
In your Shape platform, you can customize the style of your content by creating and managing themes for your presentation. For any further information on how to create and customize your new theme, please refer to the article Creating and Managing Themes and Layouts.
To choose a theme for your Shape, from the editor, click on the Themes button in the bar on the right side of the page. In the right panel that opens, you will view the current theme, and the predefined themes already available in Shape, as well as the ones created by you, your Admin and other users in your Organization. When you select a theme’s card, your choice is applied in real-time to your presentation.
If you want to view all of the themes available, select the Expand button at the bottom of the right panel. You will access the Themes tab, a gallery listing all of the pre-built themes, as well as the themes you have already created in your platform. Select the theme you want to use for your Shape, then press the Apply button. Once you have changed the theme, you can exit the tab to come back to the Shape editor to see how the theme you just selected looks like, or you can also Preview the Shape.
Managing Soundtracks
If you want to add a soundtrack for your Shape presentation, from the editor, click on the Audio button in the bar on the right side of the page. Browse the audio files uploaded by you in the Media Library tab, and the ones included in Shape’s audio library in the Stock Library tab. Click on the play icon to listen to the sound clips, and when you find the soundtrack that you want to apply, select the checkbox on the right of its title.
You can adjust the soundtrack volume by using the corresponding slider. Your choices are applied in real time to your presentation. Preview your Shape to check the outcome. Note that if you also add a voice-over, the soundtrack volume will be automatically adjusted accordingly.
You also have the possibility to upload a new audio file or to explore Shape’s audio library. To do so, select the button at the bottom of the panel. On the page that opens, in the Media Library tab, you can view the list of all of the audio files you uploaded, and upload a new one by clicking the Upload button or by dragging and dropping the file anywhere on the page.
Please note! The supported formats for audio files are mp3, wav, ogg.
Once you have uploaded your file, you will find it among the sound clips listed on the page. If you want to view the details of the file, edit its title or tags, click on the title or on the ellipsis icon at the end of the row, then select Audio Details. To delete one or more audio files, select them using the checkbox at the end of the row, then click on the trash can icon in the top bar. If a deleted audio file is currently in use in a Shape, it will be removed from the related Shape as well if this has not been published yet, whereas it will be kept in any Shape that has already been published.
Switch to the Stock Library tab to find all the info you need on the files offered by Shape’s audio library. You will find advanced filters capabilities: from the filters panel you can choose the instrument, mood and genre you prefer.
Once you have found the perfect soundtrack for your Shape, select the desired file and click Apply at the bottom of the page. To remove the soundtrack from your Shape, click on the cross icon (Remove soundtrack) next to the selected soundtrack.
Managing Languages
If you want to translate your learning assets, from the editor, click on the Languages button in the bar on the right side of the page.
In the Languages panel that opens, click the Add languages button to add a new language. If you have created your Shape from scratch, select the Shape’s default language in the right panel. Note that the default language cannot be changed later: make sure that you select the language that you wrote in, so that AI can correctly translate your Shape into other languages.
The languages available for translation are Bosnian, Bulgarian, Chinese (traditional), Chinese (simplified), Croatian, Czech, Danish, Dutch, English, English (Australian), English (UK), Estonian, Finnish, French, French (Canada), Georgian, German, Greek, Hindi, Hungarian, Indonesian, Italian, Japanese, Kazakh, Korean, Latvian, Lithuanian, Macedonian, Malay, Norwegian, Polish, Portuguese, Portuguese (Brazil), Romanian, Russian, Serbian, Slovak, Slovenian, Spanish, Spanish (Mexico), Spanish (US), Swedish, Tagalog, Tamil, Turkish, Ukrainan, and Vietnamese. Please note that characters of non-latin alphabets may not be properly rendered. When uploading a new font, if you plan to use non-latin alphabets, make sure that the font includes non-latin characters too.
Once you add a language, all of the texts within your Shape are translated right away. Then, when you publish the Shape, you will be able to make it available in all of the languages you have added.
Click on the ellipsis icon in the Languages panel and select Update to update the translation in the selected language (when changes have been made to the Shape in the default language after you added the translation) and also Delete the translation.
Click the drop-down menu at the top of the scene to select the language you want to view and edit. Note that any text edits you make to translations will not be reflected in the default language and other translations. This also applies to edits to the alternative text for voice-overs. Moreover, the edited scenes will no longer be updated when you select the Update option in the Languages panel.
If you change the background image or video of a scene in the default language, the change will be applied to all translations. You can choose if you want to exclude the scenes that were manually edited or override them. If you change the background image or video of a scene in a translation, you will need to select if you want to apply the change to all translations or only to the current language. If you apply to all translations, the new background will be forced also on the scenes that were manually edited.
You cannot add new scenes when editing a translation. To add new scenes, switch back to the default language.
