Introduction
When you enable learning evaluation for courses, questionnaires will be sent to learners via email or in-platform notifications. You can also choose to set the learner initial questionnaire as a training material of a course.
Adding the questionnaire as training material in the course can greatly enhance your response rates, we strongly recommend using this option.
This article will guide you through the configuration of initial learning evaluation questionnaires as Feedback questionnaire training material.
Requirements and limitations
When setting up initial learning evaluation questionnaires as training material in your platform, please remember that:
- Initial learning evaluation questionnaires are assigned to courses as Feedback questionnaire training material
- You can set initial learning evaluation questionnaires as training material only for the courses where Learning evaluation is enabled, as described in the article Enabling evaluation for courses.
- You cannot set follow-up questionnaires as training material
- You can create and manage initial learning evaluation questionnaires as training material in the Training materials page and then assign them to courses where learning evaluation is enabled.
- When you, as a Superadmin, check out the Learner view of an ILT course where an initial evaluation questionnaire has been added as training material and where you are not enrolled as a learner, you might encounter an error. This is due to the fact that you were not automatically enrolled in the course when clicking on Learner view. In order to access the questionnaire, you will need to manually enroll yourself in the course.
- An initial evaluation questionnaire added to an ILT (Instructor-Led-Training) course will not be accessible by the course instructor.
- The following rules apply when learners answer learning evaluation questionnaires set as training material in a course:
If the learner’s status in a course is set to In Progress, and they answer the learning evaluation questionnaire set as training material, then they will not receive either of the email notifications sent for the Initial evaluation and the Follow-up evaluation.
- If the learner’s status is set to Completed and they answer the learning evaluation questionnaire set as training material, then they will not receive the email notification for the Initial evaluation but they will receive the email notification for the Follow-up Evaluation.
Setting up questionnaires as training material
Before you start setting up the questionnaire as training material, make sure that you enable the option Add an extended list of parameters to xAPI (TinCan) launch URL by following these steps:
- Access the Navigation menu, find the Configuration (spanner icon) and click on Platform setup and tools
- Reach the Advanced settings area
- Go to the Advanced options tab
- Reach the xAPI/TinCan section
- Enable the option Add an extended list of parameters to xAPI (TinCan) launch URL by selecting the corresponding checkbox
- Click on Save at the bottom of the page
Then, follow these steps to set up your learning evaluation questionnaire as an xAPI training material in a course:
- Reach the Courses page from the Navigation menu > Content and delivery (folder icon)
- Access a course by clicking on its description
- Go to the Training material tab
- Click on Add training material and choose Feedback questionnaire from the drop-down menu
- Add the questionnaire title and description and click on Save changes
Creating feedback questionnaires from the Training materials page
In addition to creating feedback questionnaires directly within courses, you can create them in the Training materials page and then assign them across multiple courses where learning evaluation is enabled.
Best practices
In order to get the best out of the questionnaire experience, we strongly recommend you:
- Create and maintain the questionnaire in the Training materials page so that you can reuse it across multiple courses.
- Set the questionnaire as the last training material in the course
- Set the training material view mode to either Inline or Theater mode
- Set the course navigation policy as Final training material Locked, so that learners must complete all of the training materials in the course in order to unlock the questionnaire, which should be made a required item for completion credit
