Introduction
As a Superadmin, you may need to assign some administrative permissions to some of your users so that they can help manage the platform and other users. These users are called Power Users.
Create users as Power Users, and configure Power User profiles with different permissions, so that you can create different types of users, with different rights, according to your needs.
This article lists all of the permissions available for the configuration of Power User profiles offering an overview of the available permissions and relevant options.

Permissions for users
Permission area and type | Permission description | Additional notes |
Users / View | Can view all of the assigned users |
This permission is needed to access the Users management page from the Admin menu. It must be set for any of the other Users permissions to work. This permission also allows Power Users to:
|
Users / Create | Can create users | This permission allows Power Users to import users via CSV, but not to import other users as Power Users. Newly created users by a Power User will not automatically have Power User or Superadmin functionality. In addition, Power Users will be able to see the User Personal Summary for their users. |
Users / Edit |
Can edit any assigned user* → This includes activating or deactivating users and changing their expiration date, as well as merging users |
This permission also allows Power Users to see the User Personal Summary for their users. *With the exception that a Power User cannot update a Superadmin |
Users / Delete | Can delete any assigned user* | *With the exception that a Power User cannot delete a Superadmin |
Users / Allow Power Users to skip mandatory fields when creating a user | Can ignore any mandatory profile fields when creating a user | |
Users / Can see invisible fields | Can see all user additional fields marked as invisible |
This permission allows Power Users to see invisible user additional fields when creating or editing users, in reports, and in the User Personal Summary. If the Apply additional fields visibility based on branch nodes option is enabled in the Users vertical tab of the platform Advanced Setting menu, the Power User will also see the fields that are associated to the branches assigned to them as resources. |
Users / Users waiting for subscription confirmation |
Can access the Pending users list and the actions inside of it, such as approving or rejecting new users.
|
Newly created users are placed in the Pending users list if they are created by a Power User without the Can activate users permission. The Pending users list also contains self-registered users who require approval or confirmation |
Users / Can activate users |
Users created by this Power User are placed directly in User management, bypassing the Pending users list → This permission is not needed to activate/deactivate users, for which Users/Edit is sufficient. |
Without this permission, newly created users are placed in the Pending users list, where they have to be approved by a Superadmin or by a Power User with Users waiting for subscription confirmation permission. After approval, they are placed in User management. Once newly created users reach the User management list, their activated/deactivated status depends only on the option Activate user at the end of the creation process in the user creation panel, irrespective of the Power User’s permissions. |
Users / Impersonate the assigned users | Can impersonate normal user | The Power Users assigned to this permission can view the Users management page listing all of the users assigned to them. They can impersonate normal users, and cannot impersonate other Power Users or Superadmins. |

Permission area and type | Permission description | Additional notes |
Groups / View | Can view all the groups assigned to them as resources |

Groups / Edit | Can edit all assigned groups |

Groups / Delete | Can delete any assigned groups |
Permissions for courses
Permission area and type | Permission description | Additional notes |
Courses / View |

This permission is needed to access the Course Management page from the Admin menu. So it must be set for any of the other Course permissions to work. By itself, it allows the Power User to only view the assigned courses but not make any changes to them: Training material, Properties and Channels tabs of a course are not accessible. This requires adding Courses/Edit permission.
This permission is needed, besides any relevant permission on enrollments, to see the Enroll button in courses. This permission also allows Power Users to access the Course management area when they click on Managed courses in the My KPIs widget. |
Courses / Create |
Can create new courses
Can duplicate assigned courses |
The Power User cannot add or configure anything in the newly created or duplicated course. For example, cannot access the Properties or Training material tabs of the course: This requires the Courses/Edit permission.

With this permission, the Power User can set a learner's final score for a course, but not the scores of individual training materials within the course. To view and manage the enrolled users requires adding the Enrollment / Manage learning plan enrollments permission. |
Learning Plan / Create | Can create learning plans |
This permission allows Power Users to create learning plans. |
Learning Plan / Edit |
Can edit assigned learning plans This includes adding or removing courses from the learning plan, setting courses as mandatory, setting prerequisites, assigning the learning plan to channels, and editing all the properties and settings of the learning plan. |

This permission only has an effect if the Power User can create and/or edit enrollments. (Enrollment / Create or Enrollment/Edit) |
Enrollment / Can activate enrollments |
Can confirm course enrollments. When a Power User with this permission creates an enrollment, the learner goes directly to the Enrolled status*. Without this permission, the learner goes into the Enrollment to confirm status. *or to Waiting users status if the course is full and there is a waiting list. Can change the status of learners who are in Enrollment to confirm or Waiting user status, so that they become Enrolled. |
|
Enrollment / Archive | Can archive enrollments for the assigned users |
|
Enrollment / Manage learning plan enrollments |
Can manage enrollments of assigned users in the assigned learning plans. This includes the ability to enroll users in learning plans that are under maintenance. This includes enrolling and unenrolling users and setting their enrollment validity. This permission is not affected by any of the other Enrollment permissions, which are instead referred to direct course enrollments. → Users enrolled in a learning plan are automatically enrolled in all its courses, even if the Power User lacks the specific Enrollment/Create permission for courses |

This permission does not allow Power Users to see the certificates of the users they manage in the user’s personal summary. |
Permissions for notifications
All the below permissions apply only to notifications configured for the Power User’s assigned resources. More specifically:
- The resources set as trigger filters for the notification (groups, branches, courses and learning plans) must all be assigned to the Power User as resource.
- In the case of a Superadmin-created notification that has no trigger filters, the Power User will not need any resource assignments to have visibility on it.
- The recipient roles set for a notification do not affect its visibility to Power Users.

*Notes on resource visibility in widgets
When editing widget pages that contain the Catalogs, Channels, or Questions & answers widgets:
The Power User can always set one of the global options available for the widget even without having visibility or permissions on the included resources. These are:
- For Catalogs widget: “All catalogs”
- For Channels widget: “All channels”, “My channel”, and “Followed channels”
- For Questions & answers widget: “All channels” (filter)
However, when making a custom selection, the Power User can pick only from the resources visible to them. ie, can add/remove or select only the channels or catalogs that are assigned to them as resource, and for which they have view permission.
- If a pre-existing custom selection includes resources not assigned to the Power User, these will be shown masked (their names concealed). The power user can still remove them from the widget but then won’t be able to add them back individually.
- When duplicating a widget page, all the widget resource assignments will be copied over, even if they are not visible to the Power User.
For more information see the article on Widgets for custom widget pages.

*Notes on menus assigned as resource:
When a menu is assigned as resource to a PU:
- All the pages in that menu are also automatically assigned to the PU. Any pages added to that menu in future are likewise automatically assigned.
- The PU retains assignment of these pages even if they are removed from the menu, or if the menu itself is deleted, or if a Superadmin unassigns the menu from the Power User.
- Pages assigned to a PU cannot be removed as resources if they belong to a menu assigned as resource to the PU.
- This automatic assignment of pages does not imply management of those pages. For this, the PU will still require the relevant Pages permissions.
