Introduction
Docebo has created Insights to allow you to collect data and useful information on the activities on your platform. With the Insights dashboards, you can instantly get an overview of how learners are using your platform and understand the effectiveness of your training programs.
This article outlines how to access, create and use Insights’ dashboards. Insights is available for Superadmins and Power Users with permissions for Insights.
Legal notes
Presently, there is no limitation to the number of dashboard views, either at the user level or at the account level in the Docebo platform.
However, as Docebo tracks usage and customer engagement increases, which consumes credits on the back end via Snowflake (data storage, processing, and analytic solution utilized by Docebo to power Insights), limitations may be applied in the future in the following scenarios:
- if the overall Snowflake costs related to dashboard views increase significantly as Insights scope and scale increase;
- if, for a specific customer, Docebo observes a very high Snowflake credit consumption related to dashboard views which results from a higher than standard usage of Insights.
Examples of ‘abnormal usage of Insights’:
- Increased dashboard views triggered by automation;
- Same dashboard viewed 20 times in a short time period by the same user with exactly the same parameters;
- A high proportion of active users (either Power Users or Superadmins) are accessing Insights dashboards. Conventionally, Superadmins and Power Users are a smaller subset of the total active user count of the platform.
Requirements and limitations
- Insights is currently available in English only.
Accessing dashboards
Insights offers ready-to-use dashboards designed by Docebo to allow you to view data related to different aspects of your platform activity. The following ready-to-use dashboards are available:
- Course enrollments and completions
- Instructor-Led Training courses
- Certifications
- Learning plans
- Users
- Time spent on learning
- Tests
- Communities (only if your plan includes Communities)
On top of these, you also can create and edit custom dashboards. More information on custom dashboards in the corresponding chapter.
To access dashboards, go to the Admin menu from the gear icon in the top right corner of the platform. Find the E-learning section and click on Insights.
The Insights main page features dashboards in a cards or table layout. You can change the display mode from the top right corner. The main page lists:
- Ready-to-use dashboards under the Featured dashboards section
- Custom dashboards created by you under the My dashboards section, if you have created any. If you have not created any custom dashboards yet, the My dashboards section will not be displayed.
You can filter dashboards by Role using the Filters on the left side of the page to select the dashboards for which you have Editor permissions and those for which you have Viewer permissions. The dashboards that you can edit are the custom dashboards while the ready-to-use dashboards can only be viewed.
You can also look for a specific dashboard using the Search results box.
To access a dashboard, click on the corresponding card or on the dashboard name if you are in the Table display mode.
Please note! The data found in the dashboards are refreshed once a day. So, dashboards might not fully cover the data of the previous 24 hours. Similarly, when selecting a filter for your dashboard, the filter will not show any data until the following data refresh.
Using the ready-to-use Featured dashboards
Once you access a Featured dashboard, you will see all the included visuals on the page. These dashboards cannot be edited, this means that you cannot add, delete or edit any of the visuals. Similarly, you cannot delete any of the Featured dashboards or add a new dashboard in this section.
However, a number of filtering options are available. The filters depend on the type of dashboard.
Creating a custom dashboard
To create a custom dashboard, access the Insights page as explained in the above chapter and follow these steps:
- Click on Create dashboard in the top right corner of the page.
- In the right panel, enter the name (required) and the description of your dashboard and click on Create and edit.
- You will land on the Builder tab where you can start building your dashboard. Enable the full-screen mode to maximize the workspace area, making it more comfortable to use all the available tools.
- Click on the Import button in the top bar to access the visuals library and select the visuals you want to add to your dashboard. Move to the corresponding tabs to select visuals regarding Course enrollments & completions, Certifications, Instructor-Led Training (ILT), Learning plans, Time spent on learning and Users. To add a visual, tick the checkbox in the top right corner of the visual card. Once you have selected all the needed visuals click on Import.
Your dashboard is now created and you can access it in View mode by clicking on the dashboard’s card from the main Insights page.
Please note! Changes made in the Builder tab are not automatically saved. This means that if you leave the Builder tab without clicking on Import after performing your modifications, they will not appear in the View mode of the dashboard.This also applies to changes made in the Properties and the Filters tabs. So, if you leave said pages without clicking on Save properties or Save filters, your modifications will be lost.
Managing custom dashboards
The custom dashboards you have created will appear on the main Insights page under the My dashboards section.
To view a dashboard, click on the corresponding card (or on the name if you are in Table display mode). This will take you to the View mode of the dashboard. From there, you can go back to the Edit mode by clicking on the corresponding button in the top right corner of the page.
You can also manage a dashboard from the main Insights page. Click on the ellipsis icon on the corresponding dashboard card or in the corresponding row if you are in Table display mode. The following options are available.
Edit
- From the Properties tab, you can edit the name and the description of the dashboard. Enter your modifications and click on Save properties.
- From the Builder tab, you can add or remove visuals to your dashboard. Click on Save dashboard version in the Builder tab in order to see your changes in View mode.
- From the Filters tab, you can select and edit the filters you want displayed in the View mode of the dashboard. Make your selection and click on Save filters to apply them. Your filter selection is automatically saved. This means that you will find the same filter selection next time you access the dashboard even if you close your browser. This only applies for a single dashboard and for your user only.
Assign
You can assign all dashboards (both ready-to-use and custom) to other users on the platform, giving them visibility into the displayed data. Learn more about assigning dashboards.
Delete
Once you delete a dashboard, it will be removed from the page and you will not be able to retrieve it.
Note on user data visibility
For the dashboards displaying user data (including enrollments) organized by groups or branches, if a user belongs to multiple groups or branches, they are counted as many times as their groups or branches of belonging.
