Introduction
Docebo for Microsoft Teams allows you to integrate features of the Docebo platform within Microsoft Teams, giving you access to courses and learning materials as well as the ability to share that material within Teams and creating customized training dashboards for different audiences and use cases.
Activating Docebo for Microsoft Teams
Docebo for Microsoft Teams is a paid product. To activate Docebo for Microsoft Teams, reach out to Docebo via the Help Center, or by contacting your Account Manager (if your plan includes this option).
Creating a Dashboard
Dashboards allow you to create custom layouts of learning plans or courses and set visibility by branches and groups of users. A Default Dashboard is provided which will be visible to all tenants should they not have access to other dashboards and should be used as a fallback dashboard for all tenants with the lowest priority given to it.
To create a dashboard press the gears icon and under Docebo for Microsoft Teams, press Manage. Then press the plus button in the top right corner and select New Dashboard.
In the slide-out window give your new dashboard a code, a name and an optional description and then click Create and Edit to proceed to the dashboard configuration screen.
The next screen is divided into three tabs, Properties, Composer and Usage.
Properties tab
The Properties tab allows you to change the code, name and description of the dashboard. It also contains the visibility settings, allowing you to restrict visibility to certain branches and groups of users.
Composer tab
The Composer tab shows the layout schema of your dashboard.
Each dashboard is composed of one or many horizontal rows. A row is an area of the dashboard divided into columns, from one to three. Columns are containers for widgets.
Press the plus button to add a row in the dashboard. Select the widget layout that you want to give to the row from the slideout panel, then press Create. You can edit the row layout at any time by pressing the menu icon at the end of the row and selecting the Change Row Layout option to define the row layout. Select the layout option that suits you best from the slideout panel, then press the Change Layout button for confirmation.
If you change the layout to a smaller size (for example, you switch from a 1/3 - three column row layout to a 1/2 - half-width row layout), the widgets in the removed column are moved to the rightmost of the remaining columns. To move rows in the dashboard, hover your mouse on the row header until a cross icon is displayed. Now click and drag the row and drop it to where you would like to place it.
Duplicating a Row
The row layout can be duplicated to speed up the widget page configuration. In order to duplicate a row layout, press the menu icon at the end of the row, then select the Duplicate Row Layout option. The new row will be designed below the selected row with the same layout as the original one, but with no widgets inside.
Deleting a Row
To delete a row, press the menu icon at the end of the row and select Delete Row. Press Confirm & Delete from the dialog box to complete the operation.
Please Note: All the widgets included in the row will also be deleted and that at least one row must be present in the page. You are not allowed to delete a row if it is the only row left.
Adding Widgets to Rows
To add a widget to a row, press the plus button and select the widget from the Add New Widget slideout panel. Configure the widget, then press Add Widget to insert it into the selected column. Widgets may have different layouts, depending on the size of the area where they are placed.
When a widget is selected from the list, its preview is displayed in the right panel so that you can get an idea of what it will look like in the dashboard.
To change the settings of a widget, press the menu item in the widget area, then select Edit. Widget settings change depending on the widget, refer to the widget list for further information.
Moving Widgets and Defining Widget Size
To move widgets in the page, hover your mouse on the widget area until a cross icon is displayed. Drag the widget and drop it into another column of the same row, or to any other row of the page.
Please Note: Widgets with infinite scroll should be placed in the bottom row of the page, with no widget below them since what is placed below an infinite scroll widget may become not visible.
Press Save Changes when you’re finished.
Please Note: The current limit for widgets per dashboard is set to 20.
List of available widgets for use in Docebo for Microsoft Teams
The following widgets are available for use in Docebo for Microsoft Teams:
Single Course
This widget displays a single predefined course using any of the supported types of training material.
My Courses & Learning Plans
This widget provides you with your list of courses and learning plans, allowing the consumer to follow a specific plan of courses.
Custom Content Box
This is a simple text box and images allowing you to provide static information or notices via the dashboard.
Static Course List
The Static Course List widget allows the display of a static list of up to twelve courses. The courses will be visible to the viewer if users have access to the course on the platform. There may also be situations where a course is visible to the learner in the list but not accessible (for example: the course is under maintenance or the maximum enrollment quota is reached). In those cases the learner will be redirected, within Microsoft Teams, to a page stating that the access to the course is denied.
Usage Tab
Please Note: The Usage tab in the Learn Admin Panel is only visible when the Extended Enterprise App is active and you have multiple tenants associated.
Here you can find a list of tenants that are associated with the currently selected dashboard.
Clicking the ellipsis button for any entry in the list will provide you with the option to jump to the tenant associated with this dashboard or to unassign it from the tenant. Unassigning the dashboard does not delete the dashboard, it merely renders it orphaned so it may be edited or assigned at a later time.
Publishing The Dashboard
Your dashboard will not be visible to your target tenant if you do not publish it. To do so, make sure you save it using the Save Changes button at the bottom of the screen and then select Published from the drop down menu immediately to the left of the Save Changes button, then press the Save Changes button again.
Assigning the Priority of the Dashboard by Tenant
Every tenant needs to have at least one dashboard assigned to them. The lowest common denominator should be the Default Dashboard with others given higher priority. To assign priority to a dashboard move to the Tenants tab and click on the name of the tenant you want to modify. In the Assigned Dashboards tab you will see a list of all the dashboards assigned to the tenant. You can unassign them using the ellipsis button in the row of the dashboard. Dashboards can also be re-ordered to give higher priority to specific dashboards by grabbing on the handle to the left of the dashboard name using drag and drop. Once you are satisfied with your changes press the Save Changes button at the bottom of the screen. The tenant will now see the dashboard with the highest priority that they have access to, in the order of the list you have set in the Assigned Dashboards tab considering visibility rules for the groups and branches. If a user is assigned to a group or a branch they will see that specific dashboard over a dashboard with visibility set to all
Order of hierarchy:
- Group or Branch
- All Visibility
- Dashboard position (top to bottom)
- Default
Please Note: Dashboard position is used when the system cannot determine a priority between the hierarchy. For example, you have two dashboards, one with a visibility set to a group and one with visibility set to a branch, a user that is in both the group and the branch will see the dashboard in the highest position in the list.
Visibility Rules
Docebo for Microsoft teams follows the same visibility rules defined in the Docebo platform. For example, you will only be able to see courses you are enrolled into or have the ability to consume in learn. For more information about managing enrollments, please see the Managing Enrollments section in Docebo Help Center.
Please Note: You can not see paid courses unless they have already been previously purchased in the Learn platform as there is currently no payment method through our Microsoft Teams Application.
