Introduction
Depending on how your administrator set up your learning platform, when you complete a course (e-learning, or Instructor-Led Training (ILT)), you may be required to electronically sign its completion. This process is called e-signature.
Signing a course with an electronic signature allows you to prove your identity. The E-signature feature is available for both the desktop version of your platform and the Go.Learn mobile app. This article provides you with information on how to complete the e-signature authentication process on your desktop platform. In order to prove your identity, you will go through an authentication process after completing all the mandatory training lessons in a course requiring an E-Signature.
You will complete this authentication step by inserting a One Time Password (OTP) in the corresponding One Time Password field on the course player page and then validating it. The One Time Password is shown on your device by an authenticator app that generates verification codes or is sent to you via email.
Completing e-signature courses
If the course you are attending requires an e-signature (and thus the One Time Password authentication), you must prove your identity through authentication by selecting the e-signature lesson from the course syllabus on the left side of the course player page after completing all the mandatory lessons of the course.
After you select the e-signature lesson, click on Verify your identity to access the page where you will be asked to enter the 6-digit verification code shown in your authenticator app or sent to you via email in order to electronically sign the course.
Depending on the settings, you may be able to authenticate via the authenticator app, via email, or both. Refer to the following sections in this article for further information about the available authentication methods.
Authenticating via Authenticator app
Once you are on the authentication page as described in the Completing e-signature courses chapter of this article, insert the One Time Password that you see in your Authenticator app and then validate the code by pressing the Complete course button in order to complete the e-signature course.
The e-signature validation process is now completed, just like your course!
Notes on authenticating via Authenticator app
- If your session in the platform expires between the request and the input of the verification code, the code can no longer be accepted, and an error message will inform you that the verification failed. If so, click on Resend the One Time Password to get a new code.
- If you have more than one account associated with your authenticator app, you’ll see more codes in the app. If so, make sure you use the code displayed in the row that corresponds to your platform profile.
Authenticating using the recovery key
If you cannot get a One Time Password (OTP), you can still verify your identity by using the recovery key that you generated when you paired the authenticator app with your profile.
If so, click on Use recovery key under the One Time Password text field, and enter the recovery key in the dedicated text area of the Enter your recovery key page. Click on Verify recovery key to confirm the code. If you cannot find your recovery key, get in touch with the administrator.
Since the recovery key can be used only once, after you use it, the platform will automatically generate a new recovery key and will display it in a pop-up box that opens. Make sure you save it, and remember that if you lose access to your device, you won’t be able to complete the authentication process. Once saved your key, confirm it by selecting the corresponding checkbox and button.
Pairing your Authenticator app
If it is the first time you use this authentication method and the only authentication method available is via the authenticator app, when you open the course page of a course requiring the e-signature, the Configure your Authenticator app pop-up will inform you that you need to go to the My profile page to perform the association. The pop-up opens also if you skipped the activation of the authenticator app when asked in a pop-up box right after you logged into the platform. Once you select Configure Authenticator app you’ll be redirected to your profile’s page.
On your profile’s page, move to the Authenticator app tab, follow the step-by-step instructions, inserted the 6-digit verification code (One Time Password, OTP) provided by the app, and select Activate. Once the app is paired, you’ll be able to use the authenticator app to generate validation codes even if your device is offline.
Make sure you save the recovery key shown in the pop-up box that opens: print, copy or write it down. If you lose access to your device, you won’t be able to complete the authentication process. After saving the recovery key, confirm it by selecting the corresponding checkbox and button. In the Authenticator app section of your profile’s page, you can now see that an app has been associated with your profile and on which date.
Unpairing your Authenticator app
You can unpair your authenticator app from the Authenticator app section of your profile’s page. To do so, click on the Unpair button, enter your recovery key, then confirm by clicking Unpair in the pop-up box that opens.
Generating a new recovery key
If you need a new recovery key, access the Authenticator app section of your profile’s page and select New recovery key. Insert the 6-digit verification code (One Time Password, OTP) shown in your authenticator app in the One Time Password field in the pop-up box that opens, then confirm by clicking on Generate.
Always make sure you save the recovery key shown in the pop-up box. Once you save it, confirm it by selecting the corresponding button.
Authenticating via email
To use the email authentication method, click on Verify your identity on the E-Signature page.
In the Verify your identity via email address page, enter the 6-digit verification code (One Time Password, OTP) that you received via email and click on Complete course.
The e-signature validation process is now completed, just like your course!
Associating an email address to your profile
If it is the first time you use the email authentication method and you don’t have an email address associated with your profile, when you click on Verify your identity, a pop-up box will inform you that you need to go to the My profile page to perform the association. Click on the Associate your email button. You’ll be redirected to your profile’s page.
In the Personal info section, insert your email in the corresponding field and then click on Save changes. The address you provide will be associated with your platform profile and used for the e-signature validation process, which you can now resume. If you don’t see the Email field, contact the administrator.
Notes on authenticating via email address
- You can use this authentication method only if you have a valid email address associated with your profile.
- The 6-digit verification code (One Time Password, OTP) included in the email expires 5 minutes after you received the email. If it expires, click on Resend the One Time Password to get a new code. You can ask for a new code after one minute you received the first code.
Notifications for e-signature courses
After you complete the One Time Password authentication process of a course requiring the e-signature, you may receive a notification confirming the authentication. Depending on how your platform administrator configured the notification, you may receive it in the platform Notifications area, via email or via Slack.
