Introduction
As a Superadmin or a Power User with granted permissions, you can manage the notifications of your platform’s community. Community notifications can be sent in real-time to appear in the Notifications center of the platform. They can also be sent by email. Notifications are sent after a specific event and some of them are included in digest notifications scheduled weekly or daily.
To access the notifications management area, click on the gear icon in the top right corner of the platform. In the Communities area, click on the Manage notifications sub-menu.
Community notifications for administrators and moderators
These notifications are sent to the moderators and community administrators (Superadmins and Power Users with granted permissions) to allow them to manage the content that is being published. These notifications can be disabled for Superadmins and/or Power Users but not for moderators.
Please note! Community moderators will only receive the notifications related to the content they have visibility on.
Reported content
All community members can report a post, a comment or a private message that they find inappropriate. From the notification, you can ignore the reporting of the content, remove the content or remove it and block the author as well. Please note that in the case of private messages, you will only see the reported message as well as the one preceding and following it to preserve privacy.
Post waiting for approval
When you have activated pre-moderation, the posts to which it applies are sent to you for approval. Approving the message will publish it for all the members in the space the post belongs to. If you want to reject the message, you need to provide the author a rejection reason. They can then use the reason to improve their post and send it again.
Community notifications for members
New posts
- Joining a space or being added to it will automatically subscribe you to the posts included in this space.
- New posts are only included in digest notifications. You will not receive individual notifications for every new post.
- Joining a space does not subscribe you to the comments to the posts in this space.
New comment
Comments include top-level comments (direct comments to a post) and comment threads (replies to the post comments). When you receive a notification for a comment you are subscribed to, you can either reply to the comment or unsubscribe from it. Comment notifications are related to every comment or comment thread. They are not included in digest notifications.
Tip: To subscribe to top-level comments and/or comment threads, click on the Subscribe bell icon in the top-right corner of the comment box. You can then choose to subscribe to top-level comments only, comment threads only, or both. You can also choose to unsubscribe from all comments from the same menu.
Subscription to top-level comments
- When you comment or upvote a post, or use the Subscribe button, you are automatically subscribed to the top-level comments of this post.
- When mentioned by another member in a post, you are automatically subscribed to all the comments of the post.
- Post authors are automatically subscribed to top-level comments.
Subscription to comment threads
- When you reply to a comment or upvote it, or use the Subscribe button,you are automatically subscribed to the comment thread.
- When mentioned by another member in a comment or a comment thread, you are automatically subscribed to the corresponding comment thread.
Unsubscribing from comments
To unsubscribe from a top-level comment or a comment thread, use one of the following actions:
- Click on the ellipsis menu next to the comment or the comment thread and select Unsubscribe. You can unsubscribe to a specific comment thread while staying subscribed to the others.
- Click on the Subscribe button in the top right corner of the comment box and select or deselect the corresponding checkbox.
- In the notification itself, choose the Unsubscribe option.
New message
Sent when a member sends a direct message to another one. The message can be accessed from the notification by clicking on View
Post approved
Sent to members when one of their posts has been approved and published by an administrator or a moderator after passing by pre-moderation
Post rejected
Sent to members when one of their posts has been rejected by an administrator or a moderator after passing by pre-moderation. The notification includes a rejection reason that the author can use to improve and send their post again.
New mentions
Sent to members when they are mentioned in a post or a comment.
Best answer
Sent to members when their answer to a question was marked as Best answer by an administrator or the author of the question
Featured article
Sent to members when their article has been featured by an administrator.
Digest notifications
Digest notifications are notifications that you can schedule to be sent daily, weekly or monthly to users. They include
- The posts in pre-moderation queue (for administrators and moderators)
- The new posts added to the spaces you have access to and which you have joined or been added to (for members).
From the Details and timing tab, you can schedule the digest notifications to be sent every hour, day, week or month and set up the details of the schedule.
From the digest notification, members can choose to unsubscribe to all future digest notifications. However, they can subscribe again to them from their community profile.
Editing community notifications
All the existing notifications are listed on the Notifications tab in the Manage notifications sub-menu.
These notifications are present by default, you cannot delete any of them. Similarly, you cannot create new community notifications.
However, you can change the status of a notification, choosing to make it active or inactive by clicking on the corresponding button in the Status column. When a notification is inactive, it will not be sent to anyone. We do not recommend deactivating notifications since this could decrease community retention.
To edit a notification, click on its name or the ellipsis menu at the end of the notification row and select Edit.
From the Details and timing tab, you can edit the name of the notification. The other details included on this page are in read-only mode and cannot be edited. Similarly, you cannot schedule community notifications. They are sent at the time of the event with the exception of digest notifications. Digest notifications can be scheduled to be sent daily, weekly or monthly when configuring your community as an administrator.
Composing email notifications
Follow these steps to compose an email notification:
- While editing a notification open the Composition tab and go to Email.
- Enable email as a delivery channel using the corresponding toggle.
- In the Sender section, enter the email address of the sender and the name of the sender as it will appear in the email.
- In the Content configuration section, enter the content of the email. You can use the formatting bar and the available shortcodes to customize the look and feel of the email.
Please note! Notifications are automatically configured. You can choose to leave the configuration as it is or modify it. However, you must change the email of the sender for every notification, otherwise the email may not be delivered.
The email of the sender must be properly configured in the Domain management area of the platform.
Composing platform notifications
Follow these steps to compose an email notification:
- While editing a notification open the Composition tab and go to Platform notification
- Enable platform notifications as a delivery channel using the corresponding toggle.
- Enter the subject and the content of the notification. You can use the formatting bar and available shortcodes to customize the look and feel of the notification.
Please note! Active notifications must have at least one delivery channel enabled. The activation toggle will be disabled if only one delivery channel is enabled.
Creating notifications in multiple languages
You can create notifications in multiple languages by going to the Translate fields option, selecting a language and entering the notifications details. The Translate fields option is enabled by default. Please note that if you disable it, all the modifications made in languages other than English will be lost and you will not be able to retrieve them.
Viewing notifications log
The table found in the Logs tab displays all the notifications that have been sent with the following details:
- Date and time at which the notifications were sent
- Delivery channel
- Sender
- Recipient username
- Delivery address
- Event
- Name
- Subject
By default, the table shows the logs of the day. You can select another date range from the filters and view logs up to 3 months old.You can also view the logs of a specific notification. From the Notifications tab, click on the ellipsis icon at the end of the notification’s row and select View logs.
