Introduction
The AI Credit management page is the Superadmin workspace for monitoring AI credit consumption and for controlling how many AI credits each user can consume every month. Use it to see how your credit pool is being used, to find out how many credits each user has consumed and to set monthly limits for individual users, branches and groups.
The AI Credit management page complements the Usage dashboard, which continues to show overall credit volumes, usage history and the AI credits usage report. For the list of operations that consume credits, refer to AI credit system overview.
Requirements and limitations
- Only Superadmins can access the AI Credit management page.
- By default, no monthly credit limit applies to your users. You only need to set limits where you want more control over consumption.
- AI operations performed in a sandbox do not consume AI credits and are not governed by the AI Credit management page.
Opening the AI Credit management page
As a Superadmin, open the AI control panel by clicking Navigation menu > Configuration (spanner icon) > Platform setup and tools > Artificial intelligence. Then, click Manage AI credits at the top right of the page.
Monitoring AI credit consumption
The top of the page shows four cards.
| Card | What it shows |
| Credit pool | The size of your AI credit pool, in credits per year. |
| AI users | The number of users who used AI features this month. |
| Last 48 hours | The number of credits consumed in the last 48 hours. |
| Default limit | The default monthly limit, in credits per user. |
Below the cards, a chart shows the credit consumption over time. You can adjust the chart to show the last 48 hours, the last 7 days or the last 30 days.
The Users tab lists the users who have an individual limit or who consumed at least one credit in the current period, with the following information.
| Column | What it shows |
| User | The name and email address of the user. Use the search field to find a user. Turn on Show deleted users to include users who were deleted from the platform. |
| Individual limit | The monthly limit assigned directly to the user. |
| Effective limit | The limit that applies to the user, with the reason why it applies. For example, Individual limit or No limit set. |
| Used this month | The credits the user consumed this month compared with the effective limit. |
Please note: Consumption information comes from the Usage dashboard and is synchronized at regular intervals. As a result, the page may take up to a couple of minutes to reflect recent AI activity.
Setting monthly credit limits
A monthly credit limit is the maximum number of AI credits a user can consume in a calendar month. Limits are always applied at user level. When you set a limit for a branch or a group, you are assigning that limit to every user in the branch or group.
To set the default limit, click Edit on the Default limit card, enter the default monthly limit and click Save. The default limit applies to every user who does not have a more specific limit.
To add a limit, click Add new limit. Then, select the Users, Branches or Groups tab, select the users, branch or group and enter the monthly credit limit. The limit must be a whole number of credits per month. When you are done, click Save.
The Branches and Groups tabs of the Credit limits & usage section list the limits you assigned, together with the branches or groups and the number of affected users. To change or remove a limit, click the actions icon at the end of its row. In the window that opens, enter a new value and click Save, or click Remove limit.
To prevent users from using AI features altogether, set their monthly limit to zero. A limit of zero means no access, not unlimited access.
How the limit of a user is determined
A user can have more than one limit, for example when the user has an individual limit and also belongs to branches or groups for which a limit is set. In this case, the platform applies a single limit to the user, using the first of the following limits that exists.
| Priority | Limit that applies |
| First | The individual limit of the user, including a limit of zero. |
| Second | The highest limit among the groups and branches of the user. |
| Third | The default limit. |
If none of these limits exist, the user has no limit.
A more specific limit always takes priority, even when it is lower. For example, a group limit of zero does not remove the access of a user who has an individual limit greater than zero.
Example: A user belongs to a branch with a limit of 100 credits and to two groups with limits of 200 and 300 credits. The default limit is 150 credits. If the user has no individual limit, the limit that applies is 300 credits, because it is the highest of the group and branch limits.
What happens when a limit is reached
When a user reaches the monthly credit limit, the user cannot perform AI actions that consume credits until credits are available again. When the user tries to perform one of these actions, the platform prompts the user to contact a Superadmin and the action is blocked. The action remains visible in the interface.
Consumption is synchronized with a short delay. For this reason, the AI action that causes a limit to be exceeded is allowed to complete, and in rare cases a user can consume slightly more than the limit before the block takes effect.
Access is restored automatically as soon as credits are available again.
If your organization uses all the credits in the yearly credit pool, all users are blocked from AI actions that consume credits. To add credits to your pool, contact your Account Executive or Account Manager.
Alerts about credit consumption
You will be automatically contacted via email in the following situations:
- When 90% of your AI credit pool is reached
- When 100% of your AI credit pool is reached
