Introduction
Your platform allows you to view all of your scheduled training activities in your calendar, which can then integrate with other applications to help you manage your time effectively and avoid conflicts.
Accessing the calendar (Updated!)
To access your calendar, reach your Main menu, then select the My calendar item. If this menu entry is not listed, contact the platform administrator.
Depending on its settings, the calendar can be displayed with one of the following view modes:
- Monthly: The calendar displays an entire month in a grid format, with each row representing a week and each cell representing a day. This view offers a broad overview of your training schedule, making it easy to spot which days have scheduled courses. To view event details, click on the corresponding entry. Click the month names at the top of the calendar to navigate between months within the current year. To select a different year, use the dedicated year selector.
- Weekly: The calendar displays a single week at a time, with each day shown as a vertical column divided by hours. This layout provides a detailed view of your daily schedule, and it is ideal for managing multiple events across each day. To view event details, click on the corresponding entry. Click the day at the top of the calendar to navigate between weeks within the current month. To switch months, move the monthly view mode.
- Agenda: The calendar displays your upcoming training events in a chronological order, helping you to focus on tasks without the distractions of a full calendar layout. Event details are immediately visible at a glance.
The current calendar view is shown in the top right corner. Click it to switch to another available view mode.
In addition, you can navigate your calendar using the following options:
- Use the Course type dropdown to filter events by their type:
- E-learning: All e-learning courses you are enrolled in and that are set to expire within the selected period. Each course appears on its deadline date. Courses without a deadline are not displayed in the calendar.
- Instructor-Led Training (ILT): All the ILT sessions you are enrolled in.
- Use the search bar to find specific courses or sessions scheduled for the current day or in the future. Past events are not included in the results.
- Click Export to export your calendar. More details in the Exporting the platform calendar into your calendar chapter of this article.
Exporting the platform calendar into your calendar (Updated!)
You can add your learning platform’s calendar to your calendar software or app (such as Outlook or Google Calendar) by clicking the Export button at the top of the calendar on the My calendar page.
In the window that opens, press the Export to calendar button. You will be asked to open the application that you use for your calendar. When you confirm that the calendar app is installed on your device, the learning events are automatically added to your calendar application.
Please note! In your calendar app, a new dedicated calendar will be created, and the courses events will not be added to your already existing calendars, but to a new one.
The events are synchronized with your calendar, so, if any changes are made to the courses, they will be reflected in your calendar too. In case future courses are canceled, they will be deleted from your calendar too. You can configure the frequency of the updates directly from the calendar app installed on your device.
If you are using a web version of the calendar or if you need to manually add the URL to your external calendar, after clicking the Export button, click the Copy link icon. Once you have copied the URL, paste it into your calendar software or app to synchronize your learning events.
For the web version of the calendar, the frequency of the updates is set by the provider, and you cannot configure it. The synchronization between the calendar updated in the platform and your calendar application usually happens within 24 hours, but remember to double-check with your provider the frequency of updates.
Notes on embedding the platform calendar
- If you are synchronizing your platform’s calendar with Outlook, you will need to double-check the times for your courses and sessions for Daylight Savings time, as the Outlook calendar might change the times of the sessions. You can also paste the link into your browser and download the resulting ICS file. This can then be uploaded or directly imported to your calendar software.
- For Google Calendar users, please note that in some cases multi-day events may be imported as single-day events.
Adding an ILT session to your calendar
To add a session of an ILT course you are enrolled in to your calendar software or app, while on the course page, click on the ellipsis menu in the top right corner and select Add to calendar.
In the pop-up that opens, choose between copying the link into your calendar software or app to keep your course sessions synchronized using the Copy icon or adding it directly to your calendar by clicking on the Add to calendar button.
