Introduction
Superadmins and Power Users can configure additional fields for learning plans, certifications, courses, and sessions. They are displayed in catalogs, in the Course description widget, and on session pages.
Additional fields provide custom, tailored information, help you organize content, and give learners more relevant detail when they browse or search for training. They also improve content filtering and classification in the platform's global search.
Please note: Only text and free text additional fields are included in global search results
You can configure up to 50 additional fields. This limit is shared across learning plans, certifications, courses, and sessions.
Use cases
Use an additional field to track why a due date changed on a required course. For example, if a learner cannot meet a deadline because they are on leave, record the reason in a dedicated field. This keeps every deadline change clearly justified and easy to trace.
Creating additional fields
- Log in to your platform as a Superadmin.
- From the Navigation menu, select Content and delivery (folder icon).
- Select Courses or Learning plans and certifications, and go to the Additional fields tab at the top of the table.
The tab lists all the additional fields already created on your platform. Each row shows the field name, category, whether the field is visible to users or mandatory, and where it applies.
Click the plus button in the top right corner of the page, then select New additional field. In the right panel, select whether the field applies to:
- Courses
- Learning plans
- Certifications
- Courses, learning plans, and certifications
- ILT sessions
In the Field type section, select one of the following:
- Text field: stores short to medium-length text, such as a note or instruction. You can set a maximum character limit and apply a validation criterion, such as accepted character types. Validation checks the input as it is entered, which keeps the data consistent for reporting and analysis.
- Dropdown field: offers a list of predefined options. You can configure up to 300 elements per dropdown.
- Date: tracks time-sensitive information that is not already available on the platform.
- Free text field: stores longer, unstructured text with no length or format limit.
- Iframe: embeds multimedia content or an external application directly in the platform, enhancing the interactivity of the learning experience. Iframe additional fields are available for courses only, not for learning plans, certifications or sessions.
Enter a name for the field.
In the Field settings section, set whether the field is mandatory and whether it is visible to users.
When a field is mandatory, users must fill it in when they create a learning plan, certification, course, or session. If you make a field mandatory after content already exists, you cannot edit that content's properties until the mandatory field is filled in. iframe additional fields cannot be mandatory
When a field is visible to users, it appears:
- in catalogs
- in the Course description widget (for courses), if the course player is set to open directly on the course player page
- on the course page, under Additional information, if the course player is set to show the course overview page first
- on the session overview page, under Additional information, after a user enrolls in the session
If you enable Visible to the users, you can also set whether the field works as a filter in catalogs.
Please note: Learning plan and certification additional fields are not visible to the end user.
Managing additional fields
Additional fields you create appear in the Additional fields tab on both the Courses page, and the Learning plans and certifications page. By default, this table shows fields for courses, learning plans, and certifications. To see fields configured for sessions, select Resources at the top of the table, then select ILT sessions.
To edit, duplicate, or delete a field, click the ellipsis menu at the end of its row.
Editing a field lets you change any value you set when you created it, except the field type. For course additional fields only, editing also lets you expand the field's use to learning plans and certifications. You cannot undo this change.
Duplicating a field pre-populates all the original field's values in the right panel for a new field. You can change any value, including the field type.
Deleting a field removes all tracking data associated with it from your platform.
Adding additional fields to a learning plan or a certification
Before you start, create at least one additional field for learning plans or for certifications.
- Open the Learning plans and certifications menu and select the learning plan or the certification you want to update.
- Go to the Properties tab, then to the Learning plan or Certification additional fields section. This section is hidden if no additional field is set for learning plans or certifications.
- Fill in the fields you want to show for this learning plan or certification. Fields marked Required must be filled in, or you cannot create or save the learning plan or certification.
- Click Save changes.
Adding additional fields to a course
Before you start, create at least one additional field for courses.
- In the Courses page table, select the course you want to update.
- Go to the Properties tab, then to the Course additional fields section. This section is hidden if no additional field is set for courses.
- Fill in the fields you want to show for this course. Fields marked Required must be filled in, or you cannot create or save the course.
- Click Save changes.
Please note: If you do not fill in an additional field's value, it will not appear in the course catalog or in the course table, even when the corresponding column is enabled.
Adding additional fields to an ILT session
Before you start, create at least one additional field for ILT sessions. Session additional fields are different from the course additional fields.
- In the Courses page table, select the ILT course you want to update.
- Go to the Sessions tab and open a session.
- Go to the Properties tab, then to Details.
- Fill in the fields you want to show for this session. Fields marked Required must be filled in, or you cannot create or save the session.
- Click Save changes.
Learners see a session's additional fields near the top of the session page. When viewing a session from a course catalog or the course player, additional fields appear in the Sessions tab of the course's information page.
Showing additional fields in the Course description widget
- In the Courses page table, select a course.
- Go to the Training material tab and activate the Course description widget.
- In the widget area, click the gear icon, then select Settings from the dropdown menu.
- Enter the additional fields you want to display.
- Click Save changes.
Creating iframe additional fields
When creating a new additional field, select Iframe in the Field type section. Enter the field name, iframe URL, iframe height, salt secret, and OAuth2 client. Some external content sources use security mechanisms. If yours does, use an OAuth client you set up previously and add a salt secret for the iframe. Select the OAuth client from the dropdown menu, if needed. The salt secret adds a checksum to the data, which keeps the access credentials secure.
Set whether the field is visible to users and click Confirm.
Please note: Iframe additional fields cannot be set as mandatory.
