Translating the course summary fields with AI

Introduction

On your platform you can translate both the training materials of a course (e-learning courses only) and the course summary fields (title, short description, and course description).

This article explains how you can use AI to translate the course’s summary fields. You can also manually translate them. Learn more about manual translation in the article Managing properties for courses. 

Translation of summary fields apply to learning plans as well. You can follow the instructions detailed in this article to translate the learning plans’ summary fields with AI.

Enabling summary fields AI translation

Summary fields AI translation is disabled by default. Enable it from the course properties or from the Artificial Intelligence page (under the Platform set up and tools menu). Once you have enabled AI translation, follow these steps to configure it: 

  • On the Configure summary fields translation settings card, click Configure. 
  • Select the option, Enable summary fields translation for courses and learning plans. 
  • Choose if you want to use AI translation for courses only, learning plans only, or both. You must select at least one content type  to be able to save your changes. 

Once enabled, AI translation is available to all Superadmins and Power Users with the relevant permissions.

Supported languages for AI translations

AI translation is available for the following languages. For other languages supported by the platform and not included in this list, you need to translate the summary fields manually.

Selecting languages for AI translation

Select the languages you want to translate with AI using the following steps: 

  • Open the course properties and go to the Summary and languages tab. 
  • In the Course summary section, click Manage translations. 
  • Click Add language in the right panel and add one more language.
  • Select Automatically translate content from the default language. This option is only shown when summary fields AI translation is enabled on the platform and at least one of the selected languages is supported for AI translation (check the list in the previous chapter). You can only select up to 10 languages at a time for AI or manual translation. To translate more languages, repeat the previous steps and add more languages.
  • Close the right panel to go back to the course configuration page.

AI translation is now available. 

From the language dropdown, select one of the added languages. When AI translation is available, the title, short description, and description are automatically populated. Translations are based on the default language of the course. Edit AI translations, if needed, and save your changes.

Notes: 

  • The course default language is set in the related section of the Summary and languages tab. The default language cannot be translated or removed.  
  • In the default language, the course title and description are mandatory but the short description is optional. If you do not add a short description in the default language, this field will be empty in the translated languages. 
  • After you have added or updated a translation, the AI translation process runs in the background. Translation time depends on the number of selected languages and the amount of text to translate.
  • Translations become available progressively as each translation completes.
  • While translation is in progress, the language status displays the Translating label, the translation cannot be edited, and the changes cannot be saved.  If you leave the page before saving, the translations are lost.

Translation status

Each configured language displays a translation status:

  • Default language: Source language used for all translations
  • Translated with AI: Translation generated using AI
  • Translated manually: Translation entered or edited manually
  • Default language fallback: No translation is available, and the platform displays the default language content

If you edit an AI-generated translation manually and save the changes, its status changes from Translated with AI to Translated manually.

Updating translations using AI

To update summary fields with AI: 

  • Click Manage translations to open the right panel. 
  • To update one translation, click on the ellipsis next to the language and select Update with AI
  • Alternatively, select several languages and choose Update with AI from the Choose action button. 

If the language you select in the right panel was already translated manually, the AI-generated translation will override the changes manually applied. You cannot recover your initial manual translations after AI-generated translations are applied.   

To update AI-generated translations for a language: 

  • Open the course summary in the selected language. 
  • Edit the text and save your changes

Removing translations

To remove a language, repeat the previous steps and deselect it in the right panel. The default language cannot be removed. 

When a language is removed, the summary fields revert to the default language. The translations (manual or AI-generated) are lost and you cannot recover them. 

Disabling summary fields AI translation

When AI translation is disabled at platform level: 

  • The Manage translations right panel does not show the AI translation option. Translations can only be done manually. 
  • All previously saved AI-generated translations remain available and editable. They remain labeled as Translated with AI.
