Introduction
As of July 22, 2026, you can no longer create legacy custom reports. You can still view, edit, schedule, and download existing legacy reports.
To create new reports, use the Custom reports builder.
Managing reports
To access legacy reports:
- Open Data and analytics > Reports.
- Go to the Legacy reports tab.
- Find the report you want to manage.
From the report list, you can view, edit, schedule, export, or delete existing reports.
Viewing a report
Click the magnifying glass icon in the report row to view the report.
Editing a report
Open the report and update its configuration according to the report type.
When finished, you can:
- schedule the report
- save and preview it
- save and return to the report list

Exporting a report
You can export legacy reports in XLS, CSV, or HTML format.
Report visibility for Power Users
To define which Power Users can access a report, click the item in the Filter column of the report row.
Choose one of the following options:
- All Superadmins and Power Users: All Superadmins and Power Users can access the report.
- All Superadmins: Only Superadmins can access the report.
- Select Superadmins and Power Users: Only the selected Superadmins and Power Users can access the report.
The default setting is Private.
Click Confirm. The selected visibility setting is displayed in the Filter column.
Report content visibility
When a Superadmin runs a legacy custom report, the report includes all data matching its configuration because Superadmins are not subject to content visibility restrictions.
When a Power User runs or views a report, they see only the report items they have permission to view, such as courses, users, branches, catalogs, and locations.
When a Superadmin schedules a report, the report sent to recipients contains all data available to the Superadmin, regardless of the recipients' visibility permissions. As a result, a Power User receiving the report may see data they cannot normally access in the platform.
To limit the data included in scheduled reports, you can:
- create separate reports containing only the data appropriate for each Power User audience, or
- have Power Users schedule their own reports so that their visibility permissions are applied.
Notes
Keep the following in mind when working with legacy custom reports:
- Dates and time zones: Report dates are stored in UTC. When date filters are used, dates in the report may differ by one day from the dates selected in the filters, depending on your time zone.
- Course links: In reports containing course information, values in the Course name column are links that Superadmins can use to access the corresponding courses.
- CSV sorting: When exporting Users - Courses, Audit Trail, or Users - Training Material reports to CSV, reports containing more than 2,000 rows are not sorted to optimize processing time.
Available legacy custom reports
Here is a list of the legacy custom reports available on the platform:
- Users - Courses. Runs a report with the progress details of each selected user for each course. Please note that the Time in Webinar Session field for this report only populates for DataPower S4B.
- Users - Course Enrollment Time. This report is a delay analysis displaying all of the users who have not completed the courses within the required deadline. You can set the deadline using the day of validity option in the Advanced Settings menu of a course.
- Users - Training Material. This report helps you relate the users to the training material. This report is useful when you need to know the status of completion or the scores for all content and/or material for each user. In case a course has already expired, that row of the report turns red.
- Courses - Users. This report shows the progress details for every selected course. When a course is selected but the only user enrolled in this course is an instructor, this course isn't available in the report, even if the instructor is selected in the list of users included in the report.
- Groups - Courses. This report shows the progress details of the selected groups for every course.
- Users - Learning Plans. This report shows the details of the selected user, for every learning plan.
- Users - Sessions. This report shows the progress details of every selected user, for every session. Please note that this report does not include webinar sessions.
- Users - Certifications. The Certification and retraining app is required to run this report collecting information about the certifications achieved by the users. Please note that deactivated users are not taken into consideration in this report.
- Users - External Training. The External training app is required to run this report listing of all the users associated with external activities. You can filter the information by status: all external activities, approved or awaiting approval.
- Users - Badges. The Gamification app is required to run this report so that you can easily get information related to badges, and user-badge associations.
- Users - Contests. The Gamification app is required to run this report allowing you to easily get information related to contests and users' achievements.
- E-commerce - Transactions. This report shows the list of e-commerce transaction data. The report contains one transaction item per row, with the information in columns
- Audit Trail. The Audit trail app is required to run this report keeping track of the administrative actions performed on the system and all the important changes related to the course completion, enrollment status changes, and others.
- Assets - Statistics. Discover, Coach & Share is required to run this report, showing all of the statistics related to specific assets that have been shared either privately or publicly in channels.
- Experts - Activity. Discover, Coach & Share is required to run this report, showing all of the activity performed by the selected experts. Please note that when you export the Experts - Activity report in XLS format, the amount of characters per cell is limited to 1024.
- Channel - Statistics Discover, Coach & Share is required to run this report, showing all the statistics related to a specific channel.
- User - Assets. Discover, Coach & Share is required to run this report, showing all of the contributions uploaded by the selected user.
