Introduction
The Virtual Coach is a proactive learning coach for every single user in your platform, who can guide and steer them continuously through their learning activities and work within the learning platform. At the moment, learners can currently interact with it as follows:
- Asking for recommended content in English, Italian and French
- Asking for topic-related content in English, Italian and French
- Monitoring your learning progress in English, Italian and French
- Asking questions related to content in your platform in English only
- Answering multiple-choice questions asked by the Virtual Coach to improve your learning retention based on the training materials that you have completed for English content only
- Receiving push notifications about new content, content that may interest you, or pending tasks to complete in English, Italian and French
Please note that at this time, the Virtual Coach is focused on improving the experiences of learners in your platform. Therefore, it doesn’t focus on or assist in any Admin functionalities or operations.
This article outlines how to best leverage the Virtual Coach in your learning program and how to enable it as a Superadmin.
Activating and Deactivating the Virtual Coach
To activate or deactivate the Virtual Coach for your learners, log into your platform as the Superadmin, access the Admin Menu from the gear icon in the top right corner of your platform, then press the Advanced Settings item in the Settings section.
Once you’re in the Advanced Settings area, access the Virtual Coach tab. Here, set whether to enable or disable the Virtual Coach for your platform. Remember that the Virtual Coach is activated by default in your platform. Press Save Changes to confirm your selection.
When enabled, the Virtual Coach to send push notifications to your learners about content suggestions and updates, including pending learning activities (such as incomplete courses), and will be available at any time on your platform.
Remember that if you disable the Virtual Coach and you are using Go.Learn for your training on mobile devices, users logged into the mobile app may still receive notifications from the Virtual Coach until they relaunch the app.
Enabling or Disabling the Virtual Coach on Subdomains
In case you don’t want the Virtual Coach to be active on certain subdomains (for example, Subdomains with learners using the platform in languages other than English), you can do so as the Superadmin.
Access the Admin Menu, then press the Manage subitem in the Extended Enterprise section. Then, on the next page, find the subdomain for which you want to disable the Virtual Coach, then press the gear icon in the subdomain’s row.
Once on the Settings page for the subdomain, move to the Virtual Coach tab, then flag the option to enable custom settings for this client. Finally, set whether to enable or disable the Virtual Coach for the selected subdomain. Remember that the Virtual Coach is activated by default for all subdomains. Press Save Changes to confirm your selection.
Remember that if you disable the Virtual Coach and you are using Go.Learn for your training on mobile devices, users logged into the mobile app on the selected subdomain may still receive notifications from the Virtual Coach until they relaunch the app.
Interacting with the Virtual Coach
As mentioned above, at this time, the Virtual Coach is focused on improving the experiences of learners in your platform. Therefore, it doesn’t focus on or assist in any Admin functionalities or operations.
That means that at this time, you can only interact with your Virtual Coach about your own personal learning experience on the platform. Learn more about how you and your learners can leverage the Virtual Coach.

In how many languages does the Virtual Coach interact?
At this time, the Virtual Coach speaks English, Italian and French, although it is available also for learners using the platform in any language.
What If I’m using the Extended Enterprise feature?
The Virtual Coach is available for platforms using Extended Enterprise and can be enabled or disabled for individual subdomains. Please refer to the Enabling or Disabling the Virtual Coach on Subdomains section above in this article for further info on how to enable or disable the Virtual Coach for individual subdomains.
Can I select which learners can use the Virtual Coach?
There is no way to select individual users or groups of users (including branches) that can use the Virtual Coach. Once you enable the Virtual Coach on your platform, it is thereby available for all learners on your platform.
Will the Virtual Coach only suggest content that my learners have access to view?
Yes. For example, if a learner asks a question to the Virtual Coach and the answer is found within an asset (either formal or informal) to which the learner does not have visibility (i.e. the asset is private or is a channel that’s not accessible by the learner), the Virtual Coach will not find that answer for the learner, but may look in content that is viewable by the learner.
Likewise, the Virtual Coach will only recommend courses that learners are actually able to self-enroll in or purchase. If a course has an Admin-only enrollment policy, it will not be recommended to the learner for self-enrollment. Formal content from within locked courses will not be recommended to learners that aren’t enrolled in those courses either.
Can I, as a Superadmin, see the conversations between the Virtual Coach and my learners?
No. In order to ensure the privacy of your learners, no other users can see conversations between the Virtual Coach and each learner. The platform will never share entire conversations, or parts of conversations, between users.
Is the way data is used by the Virtual Coach GDPR compliant?
Yes. The Virtual Coach will not share any personal learning or profile data in your platform with anyone else, including platform Administrators. Every conversation with the Virtual Coach is completely GDPR compliant, and data pulled from any conversations are anonymized and are used solely to enhance personalized learning experiences for each and every learner directly within the platform itself.
From which devices can my learners interact with the Virtual Coach?
Learners can access and talk to the Virtual Coach on any device that is supported by your learning platform, both on desktop and mobile. All supported devices, browsers and operating systems can be found on Docebo’s System Requirements page.
Can my learners download or delete conversations with the Virtual Coach?
If your users want to download or delete their conversations with the Virtual Coach, they’ll contact you. Please refer to Docebo’s customer support, which will perform these actions on your behalf. At the moment, learners cannot do this by themselves, but in the near future, they will have the possibility to download or delete their conversations directly on their platform.
Can I see any analytics on how many of my users have interacted with the Virtual Coach?
Currently, no reports or analytics are available for Superadmins or Power Users to view related to the Virtual Coach, but this is something that Docebo is planning as a future improvement.
What can I do if I'm experiencing an endless spinner in running the Virtual Coach?
